How to Create the Perfect Travel Itinerary

Planning a trip can be exciting, overwhelming, and deeply personal. Over the years, we’ve developed a system that works for us—and it might just help you build your own. Whether you’re chasing sunsets, collecting memories, or (like us) hunting for refrigerator magnets from all 51 states and every U.S. National Park, having a clear process makes all the difference.

Here’s how we do it—from inspiration to itinerary.

🌍 Step 1: Choose Your Destination

Every trip starts with a spark. For us, that spark is our mission: visiting all U.S. National Parks and collecting magnets from every state. Your motivation might be different—food, culture, hiking, photography. Whatever it is, define your “why.” It’ll guide every decision that follows.

Once we pick a location, we create a Google Sheets tracker with tabs like:

  • Resources (blogs, videos, maps)
  • Schedule (day-by-day plan)
  • Bookings (flights, hotels, car rentals)
  • Food (local eats, must-try spots)

📺 Step 2: Research Like a Pro

We dive into YouTube videos, travel blogs, and review sites to get a feel for the destination. What’s popular? What’s underrated? What fits our vibe?

Once we’ve gathered enough info, we shortlist the places we want to visit. Then we cross-reference with other travelers’ blogs to see how they covered those spots—what worked, what didn’t, and what we might do differently.

🗺️ Step 3: Build the Itinerary (With a Little Help from AI)

Now comes the fun part: crafting a day-by-day plan. We often use tools like ChatGPT, Google Gemini, or Microsoft Teams to generate a rough itinerary. This is where prompt engineering comes in—being specific helps AI give better results.

We include:

  • Places to visit
  • Driving routes
  • Travel style (road trip, flight, etc.)
  • Daily travel limits (we don’t want to spend 8 hours in the car every day!)

Then we tweak the itinerary to match our pace and preferences.

✈️ Step 4: Book Flights, Hotels, and Cars

Once the itinerary is locked, we hunt for deals using:

  • Google Flights
  • Kayak
  • Priceline (RIP “Name Your Own Price”)
  • Costco Travel
  • CheapCaribbean.com for beach getaways

We always try to use credit cards with travel rewards to maximize points and perks. Once booked, we update our tracker with all the confirmation details.

🍽️ Step 5: Plan the Food

Food is a big part of our travel experience. We use AI again to help us find:

  • Local favorites
  • Hidden gems
  • Meal plans that fit our schedule

We add these to our tracker so we’re not scrambling for dinner after a long day of hiking or sightseeing.

With everything booked and planned, we start counting down the days. The tracker becomes our travel command center, and the excitement builds with every update.
